Why Did My Stock Level Drop?

Foliodia is designed to manage your inventory automatically, but it only deducts stock at a very specific point in the order lifecycle to prevent false depletion from unpaid or cancelled orders.

Overview

When a customer submits an order form, your stock does not immediately drop. The order enters the "Pending" state.

Your product stock is only deducted when you explicitly change an order's status to "Delivered" in your dashboard.

Step-by-Step Instructions

If you noticed a drop in your stock level and want to trace it:

  1. Go to your Orders dashboard.
  2. Filter the status by "Delivered".
  3. Look for recent orders containing the specific product. The total units sold inside those delivered offers equals the exact amount your stock was reduced by.

Tips & Best Practices

  • Atomic Inventory Updates: Foliodia uses an advanced database locking mechanism. This means if you have multiple products bundled inside a single offer (e.g., a "Starter Kit" containing 1 Shampoo and 1 Conditioner), changing the order to "Delivered" safely deducts the exact correct amount from both products simultaneously.
  • Reversing Deliveries: If you accidentally marked an order as "Delivered" and change it back to "Pending" or "Cancelled," Foliodia will automatically return the stock back to your inventory.

Common Problems

My stock dropped below zero. Foliodia allows negative stock to prevent blocking a massive influx of sales if your inventory count was slightly inaccurate. If you see negative stock, it simply means you sold more units than you initially told Foliodia you had.

An order was placed but my stock didn't change. Check the status of the order. If it is still "Pending" or "Out for Delivery," the stock remains untouched until the physical delivery is confirmed.

Frequently Asked Questions

Can I manually adjust my stock? Yes. You can edit the product directly from the Products page and type in the new current physical stock number, or use the quick "Add Stock" button to safely increment the total.
