Understanding the Foliodia Workflow

Foliodia is designed to replace manual spreadsheets and messy direct messages. To get the most out of the platform, it is helpful to understand how information flows from your inventory to your customer, and finally, to your analytics dashboard.

Overview

The Foliodia workflow is built on three core pillars: Products, Forms, and Orders.

  1. Products (Your Inventory): These represent the physical items you sell. They hold cost prices and inventory levels.
  2. Forms (Your Storefront): These are the customer-facing checkout pages. Forms group your Products together into attractive "Offers".
  3. Orders (Your Sales): When a customer submits a Form, an Order is generated containing a historical snapshot of exactly what they bought and for how much.

Step-by-Step Workflow

  1. Add a Product: You tell Foliodia what you are selling, how much it costs you, and how many units you have in stock.
  2. Create a Form: You build a checkout link. Inside the form, you bundle your products into Offers (e.g., "Buy 1 for $50", "Buy 2 Get 1 Free for $100").
  3. Share the Link: You place your Form's URL on Instagram, WhatsApp, or embed it on your website.
  4. Customer Purchases: The customer selects an Offer, fills in their delivery details, and submits the form.
  5. Notification: You instantly receive a Push Notification and Email alerting you of the new order.
  6. Fulfillment: The order appears in your Dashboard. You package the item and send it out for delivery.
  7. Mark as Delivered: Once the customer receives the item, you mark the order as "Delivered" in Foliodia.
  8. Inventory Updates: Only upon marking the order as "Delivered" does Foliodia automatically deduct the stock from your Products and calculate your finalized profit in the Analytics dashboard.

Tips & Best Practices

  • Never edit an old product to create a new one. Because orders take "snapshots" of your offers, changing a product's fundamental details won't alter past orders, but it is always safer to archive old products and create new ones for accurate inventory tracking.
  • Utilize Abandoned Checkouts. If a customer starts filling out your form but leaves before finishing, Foliodia automatically saves their progress. You can view these in the Recovery dashboard and contact them to complete the sale.

Frequently Asked Questions

Does Foliodia process payments? Foliodia focuses on order management, data collection, and fulfillment tracking. It captures the customer's intent to buy and their contact details, allowing you to finalize the payment via your preferred local methods (bank transfer, cash on delivery, etc.).

When does my stock actually decrease? Stock is only deducted when you explicitly mark an order as "Delivered." This prevents your inventory from depleting due to fake or cancelled orders.
