How Inventory Tracking Works

Accurate inventory tracking is crucial for preventing stockouts and overselling. Foliodia automates this process by linking your product stock directly to your fulfilled orders.

Overview

When you create a product, you define its starting inventory. As customers place orders, Foliodia monitors those orders and only deducts stock when you confirm the items have been successfully delivered.

Before You Begin

You must have products created with an initial stock value. If you haven't added products yet, see Create Your First Product.

Step-by-Step Instructions

  1. Setting Initial Stock: Go to Products and click + New Product. Enter the number of items you physically have in the Stock field.
  2. Receiving Orders: When a customer orders a product, the order appears in your dashboard as "Pending". Your stock level does not drop yet.
  3. Fulfilling Orders: Once you package and ship the item, you can change the order status to "Out for Delivery". The stock level still remains the same.
  4. Deducting Stock: When the customer receives the item, change the order status to "Delivered". Only at this exact moment does Foliodia subtract the sold quantity from your total product stock.

Tips & Best Practices

  • Avoid Manual Adjustments: Try not to manually edit your stock numbers unless you are doing a physical inventory count. Let the "Delivered" order statuses handle the math for you.
  • Negative Stock: If you see a negative stock number, it means you have delivered more items than you told Foliodia you had. Simply update the product's stock to reflect your actual new inventory.

Common Problems

My stock isn't updating after an order is placed. This is intentional! Stock is only deducted when an order is marked as "Delivered" to prevent unpaid or cancelled orders from ruining your inventory accuracy.

Frequently Asked Questions

What happens if an order is cancelled after delivery? If you change a "Delivered" order back to "Pending" or "Cancelled," Foliodia will automatically return those items to your inventory.
